Role:
The Production Merchandiser is responsible for coordinating and managing the entire production process from order confirmation to final shipment. This role involves working closely with buyers, suppliers, and production teams to ensure that garments are produced to the required specifications, within budget, and on schedule. The Production Merchandiser acts as a bridge between the client and the production team, ensuring that the client's expectations are met while maintaining efficiency and quality in production.
Key Responsibilities:
Order Management:
- Receive and confirm orders from buyers, ensuring that all details such as specifications, quantities, pricing, and delivery timelines are accurately documented.
- Collaborate with buyers to clarify any ambiguities and make necessary adjustments to orders based on production feasibility.
Production Planning and Coordination:
- Develop and implement production schedules based on order requirements and factory capacities.
- Coordinate with various departments, including sourcing, production, quality control, and logistics, to ensure smooth workflow and timely delivery.
- Monitor the progress of production and troubleshoot any issues that may arise, adjusting schedules as needed to meet deadlines.
Sourcing and Material Management:
- Identify and source fabrics, trims, and other materials required for production, ensuring they meet the quality standards and are available on time.
- Negotiate with suppliers to secure the best prices and delivery terms, managing relationships to ensure reliability and quality.
- Oversee the procurement process, including the timely delivery of materials to the production units.
Quality Assurance:
- Ensure that all garments meet the quality standards specified by the buyer.
- Coordinate with the quality control team to conduct inspections at various stages of production, from initial sample development to final product.
- Address any quality issues promptly and work with the production team to implement corrective actions.
Sample Development:
- Work closely with the design and sample development teams to create prototypes that meet buyer specifications.
- Manage the approval process for samples, ensuring that they meet the required standards before proceeding to bulk production.
- Communicate any feedback from buyers to the production team to ensure that final products align with expectations.
Costing and Budget Management:
- Prepare cost sheets for each order, detailing the costs of materials, labor, overheads, and other expenses.
- Monitor production costs to ensure they stay within budget, identifying areas for cost reduction without compromising quality.
- Report on cost variances and work with the finance team to ensure profitability.
Client Communication and Relationship Management:
- Maintain regular communication with buyers to provide updates on production status, address any concerns, and ensure satisfaction.
- Manage client expectations by providing realistic timelines and ensuring that all contractual obligations are met.
- Build and maintain strong relationships with buyers, understanding their needs and preferences to foster long-term partnerships.
Logistics and Shipment Coordination:
- Coordinate with logistics providers to ensure the timely shipment of finished goods to buyers.
- Prepare all necessary documentation for export, including packing lists, invoices, and shipping documents.
- Track shipments and manage any issues related to customs clearance or delivery delays.
Reporting and Documentation:
- Maintain accurate records of orders, production schedules, quality reports, and shipment details.
- Prepare regular reports for senior management on production progress, costs, and client satisfaction.
- Document any issues and the actions taken to resolve them, providing insights for future process improvements.
Industry Knowledge:
- Strong understanding of the garment manufacturing process, including pattern making, cutting, sewing, and finishing.
- Familiarity with textile materials, trims, and garment accessories.
Merchandising Expertise:
- Proven experience in merchandising, with a track record of managing production for garment export houses.
- Knowledge of international trade practices, export documentation, and customs regulations.
Communication and Negotiation:
- Excellent communication skills, with the ability to interact effectively with buyers, suppliers, and production teams.
- Strong negotiation skills to secure favorable terms with suppliers and resolve conflicts with stakeholders.
Organizational and Planning Skills:
- Exceptional organizational abilities, with the capacity to manage multiple orders and deadlines simultaneously.
- Experience in production planning, scheduling, and time management.

Technical Proficiency:

- Ability to spot potential issues in production early and take preventive measures.
Education:
- Bachelor’s degree in Fashion Merchandising, Textile Technology, Apparel Production, or a related field.
- Additional certifications in export management, production management, or related areas would be advantageous.
